1. Who We Are
Clianta Schedule is a scheduling platform that allows individuals and teams to manage meeting bookings, availability, and video conferencing integrations. References to "we", "us", or "our" refer to Clianta Schedule.
2. Information We Collect
- Account information: Name, email address, and username when you sign up.
- Calendar data: Access to your Google Calendar to check availability and create events.
- Zoom meeting data: Meeting IDs, join URLs, and host links created on your behalf when you connect your Zoom account.
- Booking information: Guest names, emails, and selected time slots for meetings you host.
3. How We Use Your Data
- To create and manage your scheduling pages and event types.
- To generate Zoom meeting links automatically upon booking confirmation.
- To send booking confirmation and reminder emails to you and your guests.
- To sync with your calendar to prevent double-bookings.
4. Third-Party Integrations
When you connect third-party services (Google Calendar, Zoom), we access only the scopes necessary for scheduling functionality. We do not sell or share your data with any third party for advertising purposes.
- Zoom: Meeting data (join URL, host link) is stored encrypted and used solely to generate calendar invites and confirmation emails.
- Google: We request the following Google API scopes only:
calendar.events: create and update calendar events when a booking is confirmed, rescheduled, or cancelled (including generating Google Meet conference links via Calendar conferenceData).calendar.readonly: read your existing events to detect availability and prevent double-bookings.userinfo.email: identify which Google account is connected in your integration settings.
Clianta Schedule's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the scheduling features described above and is never used for advertising, sold, or shared with third parties for independent use.
5. How We Share, Transfer, and Disclose Your Data
We do not sell your personal data, and we do not sell, rent, or trade Google user data. We share, transfer, or disclose data only in the limited circumstances below, and only to the extent necessary:
- Infrastructure and hosting providers (sub-processors): We store and process your data — including data obtained from Google APIs, such as your Google Calendar events — on Google Cloud Platform (application hosting) and MongoDB Atlas (database hosting). These providers process data solely on our behalf under confidentiality and data-processing obligations.
- Zoom: When you connect Zoom, we send only the details required to create a meeting on your behalf and store the resulting meeting data (join URL, host link) in encrypted form.
- Email delivery: Our email provider receives the recipient address and message needed to send booking confirmation and reminder emails to you and your guests.
- Legal and safety: We may disclose data to law enforcement, regulators, or other parties when required by law, court order, or to protect the rights, property, or safety of our users and the public.
- Business transfers: If Clianta is involved in a merger, acquisition, or sale of assets, data may be transferred to the successor entity under the same privacy commitments, and we will notify you before your data becomes subject to a different policy.
We do not share Google user data with any third party except the infrastructure sub-processors named above that are required to operate the scheduling features you enabled. We never share Google user data for advertising, and we never disclose it to third parties for their own independent use.
6. Data Storage & Security
All sensitive credentials and integration tokens are stored encrypted using industry-standard AES-256 encryption. We use HTTPS for all data in transit.
7. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request deletion of your account and all associated data.
- Disconnect any third-party integration at any time from your account settings.
- Export your data upon request.
8. Data Retention
We retain your data for as long as your account is active. Upon account deletion, all personal data and integration tokens are permanently removed within 30 days.
